Sharing and permissions

Who can open a Folevi page, how to restrict one, share it by email to view, comment or edit, and make a public link with an expiry, a password and a look.

Updated

Pages in your Personal are private to you, and pages in a workspace are open to its members, by default. From a page’s Share menu you can:

  • Restrict a page so only the people you add can open it (in a workspace, its owner and admins still can).
  • Share with people by email: they can view, comment or edit. People without a Folevi account get an invitation to accept first; people outside a workspace join that page as guests, who aren’t billed. They get an email and find the page under Shared.
  • Create a public link for anyone with the URL. You can set an expiry date, require a password of at least 5 characters, and revoke the link at any time. It stops working immediately.
  • Choose how the public page looks: Note keeps the note’s own style, Article sets it in a narrow serif column for reading, Docs makes it wide with the headings listed beside it on wide screens (on narrower ones, a Contents list you can open sits above the note), and Minimal shows plain paper without the cover. Change it later from the link’s Look menu in Share. Every look follows the reader’s light or dark setting.

People who can comment or edit can also leave comments. More in Sharing notes and on the Security page.

Working on a note together

When someone else has the same note open, their picture shows at the top of the page and edits reach each other within a moment. You also see their caret in the note, in their colour, with their first name over it for a few seconds after it moves. Text they select is lightly highlighted. Only the caret’s place in the note is shared this way, never any text, and nobody sees carets on a public link.

Changes

Changes in the sidebar lists the notes you’ve opened that were changed since you last looked, by someone else, by a connected app working in your name, or by Foli AI. Each note shows who changed it, when, and the lines that were added, edited or removed, marked the way version history marks them. From there you can open the note, mark it as seen, or undo the change: the lines that were changed go back to how they were when you last looked, and the rest of the note stays as it is. Undo can be undone from the message that follows.

Opening a note, or leaving it, counts as looking at it. People who can only view or comment on a note see what changed in it, but not removed text, and can’t undo.

If you asked connected apps to check with you first (Settings → Connected apps → Ask me before changes are made to existing notes), what they want to add to your notes waits at the top of Changes under Proposed, with the lines it would add. Accept adds them to the end of the note, as the app, after saving a version you can go back to. Reject leaves the note as it is. A proposal you don’t answer expires after 14 days. The Changes count in the sidebar includes them, and the bell tells you when one arrives.

Since you were last here

When you come back to a note that someone else changed since your last visit, a slim line at the top says who changed it and when you were last there. Show changes marks the lines they added or edited, each in the colour of the person who changed it, and says how many lines were removed. Dismiss puts the line away until the next time the note changes while you’re away. It doesn’t show on your first visit, or for your own edits.
